Terms of Service

1. Acceptance of these Terms

By creating an account or otherwise using UnderTheTable (the “Service,” available at underthetable.lol), you agree to these Terms of Service (the “Terms”). If you do not agree, do not use the Service. These Terms form a binding agreement between you and the operator of UnderTheTable (“we,” “us,” “our”).

If you are using the Service on behalf of a tabletop game group, you represent that you have authority to bind your own seat to these Terms. Players who join your campaigns accept these Terms when they create their own free player accounts.

2. What the Service is — and isn’t

UnderTheTable is a web-based virtual tabletop purpose-built for Stars Without Number (“SWN”), the science-fiction tabletop roleplaying game published by Sine Nomine Publishing. It provides character sheets, tactical battlemaps, real-time chat, dice-rolling tuned to the SWN ruleset, ship-combat tooling, faction-turn tracking, scene libraries, and ambient-music transport for a single Game Master (“DM”) and that DM’s invited players.

UnderTheTable is an independent product. It is not produced, endorsed, sponsored, or operated by Sine Nomine Publishing. Stars Without Number is a trademark of Sine Nomine Publishing. Any questions regarding the SWN ruleset itself, or about Sine Nomine’s own products, should be directed to Sine Nomine Publishing, not to us.

The Service is provided as a tool. It does not replace the published SWN rulebook, does not adjudicate house rules for you, and does not guarantee any particular gameplay outcome. You and your group remain responsible for how you run your campaign.

3. Account and eligibility

  • You must be at least 13 years old (or 16 years old if you reside in the European Economic Area, the United Kingdom, or another jurisdiction whose data-protection law sets a higher digital-services age of consent).
  • One account per person. You may not register multiple seats to evade billing or to disguise your identity.
  • You must register with a working email address that you control. We use that address to send you billing receipts, password resets, security notices, and policy updates.
  • You are responsible for keeping your password confidential and for everything that happens under your account. If you suspect unauthorized access, contact support@underthetable.lol immediately.

We may, at our discretion, refuse registration or close an account that we believe was created in violation of these Terms.

4. Subscriptions and billing

4.1 What you pay

  • US $9.99 per month per DM seat, billed monthly in advance.
  • Players are free and unlimited per group. Only the DM seat carries a subscription.
  • Co-DMs are included within a DM seat at no additional charge.
  • Unlimited campaigns per DM seat.

4.2 Free trial

New DM accounts receive a 14-day free trial. No credit card is required at signup. We will not charge you, and we will not ask for payment information, unless you choose to continue past the trial. If you do nothing at the end of the trial, the account simply stops working until you provide payment information.

4.3 Payment processing

Payments are processed by Stripe. When you provide payment information, you provide it directly to Stripe; we never see or store your raw card details. By using the Service, you also agree to Stripe’s applicable terms.

4.4 Auto-renewal and price changes

Paid subscriptions renew automatically each billing period at the then-current price. We will give you at least 30 days’ advance notice by email before any price change takes effect for your account, so you can cancel before the new price applies.

5. Refunds, cancellation, and data retention

5.1 14-day money-back guarantee

If you are dissatisfied with the Service for any reason, you may request a full refund within 14 days of your first paid charge by emailing support@underthetable.lol. No questions asked.

5.2 Cancel any time

You may cancel your subscription at any time from your account settings. After cancellation, the Service remains fully available through the end of the current billing period. After that period ends, your account enters a 30-day read-only window during which you can sign in to review and export your campaign data, but cannot edit it.

After the read-only window closes, your campaign data is retained for 90 days from the date of cancellation and then permanently deleted from our production systems. Local-snapshot copies age out on the rolling schedule described in our Privacy Policy.

5.3 Past-due handling (dunning)

If a payment fails, we will retry it and notify you by email. The 30-day read-only window described above also applies to accounts that go past-due, so a failed card is never an instant lights-out event. If your balance remains unpaid after that window, the account is suspended; the 90-day data-retention clock then runs from the suspension date.

6. Your content

You retain ownership of everything you and your players create or upload through the Service: character sheets, faction notes, scene notes, dice-roll history, chat messages, sector data, audio configuration, NPC portraits, scene art, battlemaps, and any other content (collectively, “Your Content”).

To run the Service for you, we need a narrow license to handle Your Content. By using the Service, you grant us a worldwide, non-exclusive, royalty-free license to host, store, transmit, copy (for backup), display, render, and process Your Content solely to provide the Service to you and your invited campaign participants. This license terminates when Your Content is deleted from our production systems, except for copies retained in routine local snapshots for the duration of our snapshot-retention policy described in the Privacy Policy.

We do not sell, license, mine, or train models on Your Content. We do not use it for advertising, do not share it with third-party marketing partners, and do not analyze it except as necessary to operate the Service or to respond to a specific abuse report or legal requirement.

You are responsible for the legality of what you upload. You represent that you own or have the right to use Your Content, including any images, maps, audio, or other media. Do not upload copyrighted images you do not have a license to use, do not upload illegal content, and do not upload content you would not be comfortable having your players see.

7. Acceptable use

You agree not to use the Service to:

  • Harass, threaten, defame, dox, or stalk other users, including your own players.
  • Upload malware, viruses, or anything designed to damage other users’ devices.
  • Probe, scan, or attempt to break the Service’s security, authentication, rate limiting, or role enforcement.
  • Scrape the Service, automate access in a way that imposes an unreasonable load, or interfere with other users’ ability to use it.
  • Resell, sublicense, or otherwise commercially redistribute a DM seat or player invite to someone outside your own game group.
  • Upload content that infringes intellectual-property rights you do not hold — including, but not limited to, copyrighted images, copyrighted audio, or copyrighted text from RPG rulebooks you do not have a license to copy.
  • Use the Service to facilitate any activity that is illegal in your jurisdiction or in the jurisdiction where our servers are located.

We may, at our discretion, warn, suspend, or terminate accounts that violate this section, with or without prior notice depending on the severity of the violation. If we terminate an account for a material violation, the data-retention provisions of Section 5 still apply unless a court order or applicable law requires otherwise.

8. Intellectual property

Stars Without Number content. Stars Without Number and related game terms are trademarks of Sine Nomine Publishing. Your subscription does not transfer any rights to the SWN ruleset itself; for the published game, refer to Sine Nomine Publishing’s own products and license terms.

UnderTheTable’s own work. The Service’s code, design, layout, written content (other than SWN-derived content), brand, “UnderTheTable” wordmark, and accompanying assets are owned by the operator. You may not copy, reverse-engineer, or build a derivative competing product from the Service’s code or design.

Third-party trademarks. All other trademarks, service marks, and trade names referenced in the Service belong to their respective owners.

Copyright complaints. If you believe content hosted on the Service infringes your copyright, send a notice to support@underthetable.lol identifying the work, the location of the allegedly infringing material, and your contact information. We will review and respond.

9. Service availability

We aim to keep the Service available on a best-effort basis. We do not commit to a specific uptime SLA at this stage of the product. We may perform planned maintenance, which can cause brief downtime; when practical we will announce planned maintenance in advance by email or in-app notice.

We snapshot the Service. Production data is hosted on a single server located in Ashburn, Virginia, United States (US East), and is snapshotted daily to local storage on the production server with a 14-day rolling retention. You can also export your full data from your account page anytime as a self-service archive. Snapshots are how we recover from infrastructure failure; they are not a guarantee against data loss caused by your own actions (for example, deleting your own campaign on purpose). An off-site encrypted backup overlay is on the operator’s pre-launch checklist and will be reflected here when wired in.

We are not liable for downtime, performance degradation, or data loss caused by events outside our reasonable control, including but not limited to upstream network failures, hosting-provider outages, denial-of-service attacks, natural disasters, and acts of government.

10. Disclaimers and limitation of liability

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE”, WITHOUT WARRANTY OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WITHOUT LIMITATION ANY IMPLIED WARRANTY OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT. YOU USE THE SERVICE AT YOUR OWN RISK. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR FREE OF HARMFUL COMPONENTS.

TO THE FULLEST EXTENT PERMITTED BY LAW, OUR TOTAL CUMULATIVE LIABILITY ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICE WILL NOT EXCEED THE TOTAL FEES YOU ACTUALLY PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE EVENT GIVING RISE TO THE CLAIM. IN NO EVENT WILL WE BE LIABLE FOR ANY INDIRECT, INCIDENTAL, CONSEQUENTIAL, SPECIAL, PUNITIVE, OR EXEMPLARY DAMAGES, INCLUDING LOST PROFITS, LOST GAMEPLAY, BUSINESS INTERRUPTION, OR LOSS OF CAMPAIGN DATA BEYOND THE SNAPSHOT COMMITMENTS IN SECTION 9, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES.

Some jurisdictions do not allow the exclusion of certain warranties or the limitation of certain damages. To the extent your jurisdiction prohibits a given exclusion or limitation, that exclusion or limitation will not apply to you, but the rest of this section remains in effect.

11. Governing law and dispute resolution

Starter draft — counsel review required. The operator’s home jurisdiction will govern these Terms; the exact state, choice-of-venue, and arbitration-vs.-court mechanics are placeholders pending legal review before commercial launch.

Informal resolution first. Before filing any formal dispute, you agree to email support@underthetable.lol with a description of the issue and to give us at least 30 days to try to resolve it informally.

Class-action waiver. To the extent permitted by applicable law, disputes arising out of these Terms or the Service will be brought only in an individual capacity. Class actions, class-wide arbitration, and representative actions are waived. Final wording subject to counsel review.

12. Changes to these Terms

We may update these Terms from time to time. For material changes, we will notify registered DM accounts by email at least 30 days before the changes take effect, and post a notice in the dashboard. Non-material clarifications (fixing typos, clarifying phrasing without changing meaning) take effect when posted, with the “Last updated” date at the top of the document updated accordingly.

Your continued use of the Service after the effective date of an updated version of the Terms constitutes your acceptance of the updated Terms. If you do not agree to a change, your remedy is to cancel under Section 5.
